If you need something that is not currently in the laboratory, Click on the "Requests" line. This will populate your windows with the pertinent information.

THE LEFT PANEL



<The left panel should look like this, and will not change while manipulating things in the right panel. The top button "Add Request" is how you request new inventory. Clicking it will open a new interface, shown to the right.


For details on filling out the form, push this button.

The search bar allows you to type in a search term by item name. Note that while this button functions identically for all displays, it will ONLY provide results for the current display. E.g., if you are looking for LB media currently in inventory, but your right panel is currently set to new requests, the search will return nothing, because LB media has not been newly requested. If you have something in the search field, it will omit everything that isn't that, so push the "X" to clear it and display everything.


The filter list is just that - a list of filters. Each one corresponds to a value field in the request items. Clicking on one shows a dropdown list of every available option in the current lab database. You can use it to look for all items of a certain type, vendor, or requesting personnel. Clicking one option enables that option, excluding everything that is not clicked. So, if you were looking for LB media, but only the products sold by Athena Enzyme Systems, you could click that filter to get rid of all the garbage from Amazon. Aftermarket culture media is bad news. Just say no.

And finally, buttons to import and export. You can use these to move items back and forth between spreadsheets - for instance, if you have a bunch of items from a single vendor that you'd like a salesperson to quote on, populate the list in the right window with filters and checks, and export to an excel document, which can then be sent for mass quote without having to retype or cut and paste every item.

THE RIGHT PANEL

The right panel will look something like this.

The bar on the top switches categories of request.

  • "New" items are orders that have been submitted by lab staff to the lab manager or other ordering personnel. They have not been ordered yet and can be modified with no repercussions.
  • "Ordered" items have been sent to University of Michigan procurement personnel for ordering. The official order may or may not have been placed, but the process is now officially out of the Cianfrocco lab's jurisdiction.
  • "Received" are items that have been checked in, but have not been officially put into inventory yet.

Note that each category has a number next to it. That is the number of unique items in that category. Clicking the categories will allow you to see what's been requested, what's been placed, and what's arrived, respectively. Ideally, "Received" should always be zero - once received, they should be put away, not left in the box.

This button exists on the top right. It is empty, because we do not place orders through Quartzy. We transfer the information to the purchasing department, so our history (with Quartzy, at least) is empty.

The rest of the window is an item list. You can click on most of the titles to sort them, top-to-bottom or vice versa. Combine this with filters and/or search terms from the left panel to quickly track down orders with whatever information you have available. The check-boxes on the left of the item name will allow you to include them in a list of things to do, such as reordering, exporting to files, mass updating, etc.

Clicking an item name will pop a frame in from the right hand side with details about the item. The top of the form will be populated with the information you entered and/or was populated by the database during dropdown selections. There are minutiae further down that most users will not need to access. Identifying information like purchase order number, sales order number, and item history are used when receiving for business purposes. They are necessary for the person doing the electronic receipt, but not germane to the average user.

These fields can be written, but please do not change anything unless you have been trained on the receiving process and have authorization to add to inventory.


To make the window disappear, click anywhere on the page outside of it.
